Campus Cafe's contact management system centralizes all communications with prospects and students from the time they inquire and for the remainder of the time they have an association with the institution.
- Communication Plans: Whether your recruiting process is straightforward or complex, it makes sense to estiablish a consistant message in your communications with prospective students. Automated Communication Plans are a series of correspondence that go out on predetermined intervals with a common goal, and can be in the form of a letter, a reminder, or an e-mail. This e-mail can be produced locally or through a third party e-mail vendor that is fully integrated with Campus Cafe.
- Triggers: Automated Communication Plans offer tremendous potential to increase the effectiveness of your recruiting and administrative efforts, by targeting the right people at the right times. Campus Cafe offers the most comprehensive triggering system available today - so not only will you be able to automatically turn on a communication plan, but more importantly, you'll have control over ending it when no longer relevant.
For example, you may want any student placed on academic probation to meet with their advisor. This probation status can trigger a series of letters, e-mail or calls to the student to prompt the meeting. These contacts can be scheduled for once a week until the desired action takes place. When the advisor records the meeting, Campus Cafe will automatically turn off the communication plan.
These triggers and constraints can be configured based on the value of any field in the system to meet the most complex criteria.
- Print Utility: Campus Cafe will keep track of all of the letters/e-mails that have built up in the queue. The print utility will allow an administrator to simply monitor which letters/e-mails need to go out, Campus Cafe manages the rest - from merging database information to updating the record to reflect a new contact with the prospect.
