Contact Management - Admissions Module

Campus Cafe's contact management system centralizes all communications with prospects and students from the time they inquire and for the remainder of the time they have an association with the institution. 

  • Mail Flows: Whether your recruiting process is straightforward or complex, it makes sense to automate your communications with prospective students.  Automated mail flows are a series of correspondence that go out on predetermined intervals with a common goal, and can be in the form of a letter, a reminder, or an e-mail.  This e-mail can be produced locally or through a third party e-mail vendor that is fully integrated with Campus Cafe.

  • Triggers: Automated mail flows offer tremendous potential to increase the effectiveness of your recruiting and administrative efforts, by targeting the right people at the right times.  Campus Cafe offers the most comprehensive triggering system available today - so not only will you be able to automatically turn on a mail flow, but more importantly, you'll have control over ending a mail flow if it is no longer relevant.

For example, your Admissions office has pre-configured a series of mail pieces that it sends to everyone that inquires.  The primary goal is to get the prospect to fill out an application.  The triggering system employs flexible constraints that automatically turn this mail flow off when the application has been received.

These triggers and constraints can be configured based on the value of any field in the system to meet the most complex criteria.

  • Virtual Fields: The types of information that you collect on prospective students may change from year to year.  Campus Cafe's use of Virtual Fields will provide unlimited flexibility without having to add dedicated fields to your database.

In addition to the advanced features of event triggers, mail flows and virtual fields, Campus Cafe's contact management system will provide for all of your day-to-day tasks:

  • Scheduling calls and recording comments

  • Noting the receipt of various application requirements
